Any previously checked out document can be checked in again as a new version. If you have added files from sources other than a Cumulus catalog to the InDesign document, these files will be added to Cumulus automatically. The links to these files will be replaced with the corresponding Cumulus URIs. Additionally, a PDF file may be generated and added to the catalog.
Checking in documents comes in two flavors:
• A new version is checked in to Cumulus, but the document itself remains checked out, and open in InDesign to facilitate further editing.
• A new version is checked in to Cumulus, but the document is closed in InDesign (or has been closed earlier) and removed from the check-out location.
You can select between these methods each time you check in a document.
To check in a new version of a document:
1. Click Check-in to Cumulus on the Records panel, OR Select Check In from the panel menu of any In InDesign Client panel in order to check in an open InDesign document, OR Select the document(s) you want to check in, then select Check In from the shortcut menu.
The Check In dialog is displayed.
2. Optionally, enter a comment.
3. If necessary, select the asset handling set to be used.
4. Optionally, activate the Create PDF and add to catalog option.
You may also want to activate the Show InDesign’s PDF export window option. The InDesign’s PDF export window allows to select or modify PDF export settings. For further information refer to the Adobe InDesign documentation.
The InDesign Client will remember your PDF related settings as defaults until you change them again.
NOTE: InDesign’s PDF export window will be displayed only if the file is still open in InDesign. If the file was closed prior to the check-in process, PDF settings can not be selected or modified. However, a (standard) PDF can be created even in this case.
5. Activate the Keep Checked Out option if you want the document to remain checked out and open in InDesign
De-activate the Keep Checked Out option if you want the document to be closed in InDesign and removed from it’s check-out location.
The InDesign Client will remember this setting until you change it again.
6. Click OK. A new version of each selected document is created in Cumulus. If the Create PDF and add to catalog option is activated, a PDF file is generated for each selected document and checked in, too.
You may be prompted to save your document in InDesign before the check-in process can take place.
NOTE: When trying to close a previously checked-out document in InDesign, you will be asked whether you want check in the document, or keep it checked out, or undo the check out. This works with most InDesign versions, however not with InDesign CS6 on Windows, which does not offer the check in option.
